Accounts department

Data is vital for decision making. Book-keeping records and financial data are used to analyse the history of business transactions and to plan for the future. Other forms of data help to better understand customer behaviours and trends.

Non-financial data

Non-financial data such as customer contact details, can be used for all manner of other functions from simply knowing who and where your customers are - and being able to communicate with them easily - to more sophisticated CRM systems tracking transactional histories. We can build a customer contact database from something as simple as a pile of business cards, from which email and postal mailings can be created, and useful notes on contact histories can be kept. We can construct a database of your case histories so that we can analyse average workloads, turnaround times and monitor service levels. We work with Excel spreadsheets right through to relational databases such as Access and our personal favourite, FileMaker Pro.

Book-keeping

Many small businesses see book-keeping as a paper-pushing exercise and regulatory burden rather than being of benefit. Often when stretched for time book-keeping is the first thing to be put to one side.

Keeping on top of things is the key to business survival and it doesn’t have to be complicated. Simple book-keeping can be done very successfully by way of a simple spreadsheet. We can also use most mainstream accounting packages for greater volumes of transactions including Sage, Quickbooks and MYOB.

To look after your books we need a) remote access to your computer system or b) to keep the ‘live’ version of the accounting file on our server. Your receipts and invoices can be sent to us periodically by post or electronically and we will then input all the information onto your preferred system. We make sure all your paper records are in order, to ensure the year end process of getting all the correct paperwork to the accountant is as streamlined as possible. If you are VAT registered we’ll keep track of incoming and outgoing VAT payments so that when the time comes, completing the necessary VAT return is a breeze.

And don’t worry if you’ve currently got a backlog of papers – quite often when clients first come to us they’ll arrive with a large bin bag of unsorted paperwork that needs attention. We love the challenge of turning chaos into well-ordered files of useful information.

Invoicing and Credit Control

One of our favourite tasks is to help manage invoicing and credit control systems. If you’d prefer not to have to worry about any of the sales paperwork we can do it for you. We’ll prepare and issue your sales invoices in a timely fashion, making sure they include the right information and get to the right person for approval to ensure the best possible turnaround time for payment.

We can also take care of chasing your outstanding invoices too. We will agree with you a set of procedures to work to and then keep an eye on payments due in. We’ll politely yet firmly chase those which are due, keeping records of all phone conversations and statements sent out etc. We’ll even take cheques to the bank when they come in, if you’d like.

fridaygirl can effectively become your entire accounts department and as far as your clients or suppliers are concerned we are just an extension of your office.

Remember, fridaygirls are not just excellent bean-counters, we’re also business owners ourselves, which means we have experience of the many issues affecting small businesses.

For your peace of mind we are registered for Data Protection with the Information Controller, all waste documentation is cross-cut shredded prior to disposal and our computer system is backed up remotely off site every night to prevent against data loss.
